May 17, 2025M365 Developers Update | May 2025
May 17, 2025Hi, Insiders! When you have what feels like a million tasks on your plate and directions coming in from multiple people, it can be hard to figure out how to best spend your time. Did you know Microsoft 365 Copilot can assist with scheduling your day? Let’s explore how!
Microsoft 365 Copilot: Your time and project management advisor
For enterprise customers with a Microsoft 365 Copilot license (learn more about licenses for businesses), the information contained in communications and files from apps and services such as Outlook, Planner, Teams, and SharePoint are used to generate guidance and actionable tasks. With these as a reference, Microsoft 365 Copilot can help you:
- organize an overflowing inbox or to-do list.
- properly allocate your time so everything gets done on time.
- make you work more efficiently and effectively.
For example, it can set and send reminders for upcoming deadlines, turn emails into a neat list of tasks, and provide suggestions for self-care and taking breaks to avoid burnout.
For neurodivergent employees, Microsoft 365 Copilot can make handling a large workload or overwhelming amount of input a lot less stressful – but, really everyone can benefit from asking Copilot for assistance with time and project management challenges.
Scenarios to try
Microsoft 365 Copilot has plenty of use cases specifically for planning your day or prioritizing responsibilities.
Here are some suggestions based on your situation – just remember to have Work toggled on at the top of the Copilot page when you submit these prompts.
To make a daily or weekly to-do list:
What are the three most important tasks I need to accomplish today?
How much time should I allocate to each task in
?
What should be my main goals for this week?
Which days should I focus on specific tasks or projects?
To avoid procrastination:
How can I break [task] into smaller, more manageable steps?
What is the first step I need to take to start [task]?
How can I get motivated to accomplish [task] by [deadline]?
How would you recommend I complete [task] without getting distracted?
To factor in breaks:
How can I ensure I have time for both work and personal activities?
What personal activities can I look forward to today?
What meetings or tasks can I reschedule to reduce overload?
When is the best time for a break today?
How long can I step away between meetings?
Can you suggest a focus break based on my workload?
What activities can I do during my breaks to recharge?
To set reminders:
What follow-ups do I need to send today based on unanswered emails or Teams messages?
What reminders do I need to set for today?
When should I check my schedule to stay on track?
What tasks do I need to carry over to tomorrow?
To feel a sense of accomplishment at the end of the day:
What did I accomplish today?
Tell me three things I should be proud of doing today.
Summarize my accomplishments this week and where I could improve next week.
Put it all together!
Try copying this prompt and pasting it into your Microsoft 365 Copilot app in the Work Copilot experience:
Hey Copilot, let’s get my workday in shape! Start by analyzing my emails, calendar invites, and Teams chats to prioritize my tasks. Organize them into three categories with tables for each: Must-Do (urgent and important), Should-Do (important but not urgent), and Could-Do (good to have but flexible). In the tables, include columns for Task, Who Assigned It, Deadline (if applicable), and Recommended Time Slot(s). For each priority, suggest the best time slots based on my calendar to tackle them and include tips to stay focused – like blocking quiet time or grouping similar tasks. Set reminders for urgent deadlines, schedule in reasonable break time, and tell me at the end of the day what I did and didn’t accomplish so I can prioritize tasks for tomorrow.
