July 26, 2025Ever been in a live, in-person meeting and wished someone could take notes for you? Now you can make that happen, right from your phone, with the Microsoft Teams mobile app and the Facilitator agent. Just make sure you have a Copilot license, since this feature depends on it.
Here’s how it works:
- Start from the Teams Mobile App
- Open the Teams app on your phone
- Go to your Calendar
- Tap the + (plus) button
- Select “Take notes with Facilitator”
This kicks off a meeting that’s automatically recorded and transcribed.
- Real-Time Transcription and Notes
Once the meeting starts:
- You’ll get a notification that transcription and note-taking are active
- Confirm your language (e.g., English)
- As people speak, Facilitator captures:
- Agenda items
- Meeting notes
- Follow-up tasks
It’s the same Facilitator experience you get in the Teams desktop or web app—just optimized for in-person meetings.
- Notes Are Saved Automatically
When the meeting ends:
- Tap End
- Notes are saved to Microsoft Loop
- A calendar event is created automatically
This means:
- You can revisit the notes anytime in Loop
- The event is searchable and accessible via your calendar
- Everything is part of the Microsoft Graph, so Copilot can reference it
- Use Copilot to Follow Up
If you’re like me and use prompts like: “List actions items that I missed from last week and prioritize them into a table.”
Copilot will pull in those Facilitator notes and give you a clean summary.

To be honest, I had no idea this feature existed but so happy I found it! This is a simple but powerful way to stay organized during live meetings, without needing a dedicated note-taker. I’m excited to use this more often.
